Organising a school trip to Amsterdam, Bruges, or the Eiffel Tower? Teachers know transport is the #1 stress point — wrong bus, wrong driver, or wrong insurance can ruin months of planning. This guide is written for teachers, school administrators, and PTA organisers. Real prices, the EU safety checklist every school MUST verify, and the questions we get most from UK, German, and French schools booking with us.
Vehicle options + per-pupil cost (2026)
School pricing differs from corporate or wedding bookings — we offer special education rates. The per-pupil cost drops sharply with larger groups, which is why most schools fill the coach (49-58 seats) rather than book smaller.
- 🏫 Sprinter 19-seat: €380/day → €20/pupil (great for sixth-form trips)
- 🏫 Midi-coach 29-seat: €520/day → €18/pupil
- 🏫 Full coach 49-seat: €680/day → €14/pupil ⭐ best value
- 🏫 Setra 58-seat: €780/day → €13/pupil
- 🏫 Double-decker 80-seat: €1,050/day → €13/pupil (for whole-year-group trips)
🎓 We offer 10% discount for state schools and registered charities. Send your school letterhead with the quote request.
EU safety checklist — what every teacher MUST verify
Under EU Regulation 561/2006, school transport has stricter rules than regular tourist transfers. Before signing, verify all eight items below. A reputable operator provides all paperwork without being asked.
- ✅ All seats have 3-point seatbelts (legally required for school groups since 2018)
- ✅ Driver has CCV-D licence + valid Dutch chauffeur card
- ✅ Driver passes background check (VOG in Netherlands)
- ✅ Vehicle APK inspection valid (Dutch MOT)
- ✅ €5M+ passenger liability insurance
- ✅ Tachograph fitted (records driving hours)
- ✅ Max 9h driving/day (then mandatory 11h rest)
- ✅ Two drivers required for routes over 600 km/day
⚠️ If a quote is suspiciously cheap, the operator may skip safety items. Ask for vehicle registration number and verify on rdw.nl (Dutch vehicle register).
Multi-day school trips — what to budget for
Many UK/Irish schools come to Netherlands for 3-5 days. Bus cost is usually 30-40% of total trip budget. Here's what to plan:
- 💶 3-day Amsterdam trip (49-seat): €1,800-€2,200 (incl. driver hotel)
- 💶 5-day Benelux tour (49-seat): €2,800-€3,400
- 💶 7-day Europe coach (49-seat, 2 drivers): €4,500-€5,500
- 🏨 Driver overnight: included in multi-day rates (driver stays in same area)
- ⛽ Fuel surcharge: rare, but check fine print (we don't add surcharges)

Booking timeline — when to lock in your school trip
Schools book WAY in advance — and good buses sell out in March for May/June trips. Here's the optimal timeline:
- 🗓️ 12 months ahead — peak May/June availability secured
- 🗓️ 6 months ahead — still possible, may pay 10% premium
- 🗓️ 3 months ahead — limited choice, expect upgrades
- 🗓️ Less than 6 weeks — only off-season slots (Sept/Oct/Feb)
Frequently Asked Questions
Are child seats / boosters available?
For pupils under 1.35m (typically under 11), yes — we provide booster cushions free of charge on request. For very young groups (under 5) we strongly recommend parents bring their own child seats they trust.
What's your driver-to-pupil ratio?
One driver per vehicle is standard. For trips over 600 km/day (e.g., Paris), Dutch law requires two drivers, which we arrange automatically. The school is not responsible for finding the second driver.
Can teachers store luggage securely overnight?
Yes — multi-day school trips have lockable underfloor luggage compartments. The driver stays in the same hotel area as the school, so the bus is accessible if needed.
Do you provide a written risk assessment for our school?
Yes — we provide a complete risk assessment document (RAMS) listing vehicle, insurance, driver qualifications, route plan, and emergency procedures. Many schools attach this to their parental consent forms.
What happens if there's a vehicle breakdown?
We have a backup vehicle on call during all school trip periods. Average swap time: 60-90 minutes. We also carry breakdown cover with ANWB (Dutch AA) which dispatches mechanics across NL/BE/DE.
Can we pay by school bank transfer / school invoice?
Yes, this is the standard for schools. We invoice 50% deposit on confirmation + 50% on return. UK schools can pay in GBP at locked exchange rate if requested.
